Ukrainian Businesses Can Now Sign Documents Online with European Partners

Vchasno, a Ukrainian ecosystem of digital business services, has launched a new feature in its “Vchasno Sign” service that enables Ukrainian companies to sign documents electronically with their European partners. The feature allows businesses to exchange documents online using European Qualified Electronic Signatures (QES), eliminating the need to send paper originals by international mail.

The European Union remains Ukraine’s key trading partner. In 2025, EU countries accounted for 58% of Ukraine’s exports and 47% of its imports of goods. However, some document workflows between Ukrainian and European companies still rely on paper. Waiting for signed originals can delay the start of contractual work, goods shipments and payments, while international delivery adds extra costs for businesses.

The new feature brings this process online. A Ukrainian company uploads and signs a document in “Vchasno Sign”, then sends a link to its European partner. The recipient can open the document and sign it using their own Qualified Electronic Signature, without having to register with Vchasno.

To use the feature, a company needs a European QES. Businesses that do not yet have one can obtain it remotely from Ukraine through Certum, a qualified trust service provider based in Poland. The Vchasno team guides users through each step, and the process typically takes a few days. Companies that already hold a signature issued by one of the supported European providers do not need to obtain a new one.

“Ukraine ranks among the world’s top five countries in the development of digital public services, and digital processes have become standard not only for government services but for businesses as well. We want to extend this experience to cross-border business interactions. Signing documents with EU partners is more than just a new feature — it is another step towards making it as easy for Ukrainian companies to work with European partners online as it is to manage documents domestically,” says Anton Skokov, CEO of Vchasno.

The need for digital international document workflows is reflected in the experience of “Coca-Cola Beverages Ukraine”, which works with partners in 30 countries. In 2026, the company signed 341 documents related to its international operations, some of which still had to be sent in paper form. According to the company’s estimates, international delivery alone costs tens of thousands of euros annually. Beyond the financial burden, the process involves several days of waiting and the risk of documents being lost in transit, potentially delaying orders and payments.

Under the EU’s eIDAS Regulation, a Qualified Electronic Signature has the same legal effect as a handwritten signature. Ukrainian legislation also provides for the recognition of the results of qualified electronic trust services provided by European providers, subject to the conditions established by law.
